Summary: Teams Caption Recorder is an independent browser extension that observes Microsoft Teams live-caption text and saves it on your device when you opt in. The publisher does not receive your meeting transcripts. No analytics, advertising trackers, developer-hosted servers, or automatic cloud sync are used.

1. Information processed

After you enable recording, the extension reads only the live-caption text rendered in supported Microsoft Teams web meetings and limited meeting metadata needed to organize your transcripts. This may contain personal or confidential data about meeting participants, including spoken words, names shown with captions, meeting titles, approximate observation times, and the meeting's web origin and path. It also saves local session status, optional user-provided transcript titles, and your settings. It does not obtain microphone audio, meeting video, private chat messages, authentication tokens, cookies, passwords, or payment information.

2. Why it processes data

The sole purpose of this processing is to let you preserve, search, review, and export Teams live captions as local transcripts. The extension may interact with Teams' native caption menu to enable captions on your behalf after opt-in; it does not create a Teams cloud recording or native Teams transcription.

3. Your consent and controls

On a first install, automatic capture and automatic caption enablement are disabled. A setup page explains this data processing and asks whether you wish to enable it. You may decline, enable it later from the extension toolbar, or disable either feature at any time. While a session is active you may pause or finish capture from the toolbar popup.

4. Where data lives and who can access it

Transcripts are stored in IndexedDB within the local Chrome or Edge browser profile where the extension is installed. Preferences are stored in browser extension storage. No transcript text, speaker information, or meeting metadata is automatically transmitted to the publisher, to advertising services, or to any developer-hosted server. Microsoft Teams itself continues to process the meeting and captions under Microsoft's policies; this independent extension does not control those Teams-side services.

Only someone with access to your browser profile, the exported files you create, or other software capable of reading that profile may see locally saved transcripts. The developer has no remote access to your transcripts. Local browser data may be included in backups or subject to your organization’s device management policies.

5. Sharing and exporting

The extension does not sell, rent, transfer, or share your transcripts with the publisher, advertisers, or other third parties. You can choose to export a local TXT, Markdown, JSON, or WebVTT file. Once exported, your handling, sharing, backup, and deletion of that file are your responsibility.

6. Retention and deletion

Local records remain until you delete them, clear the browser's extension data, remove the profile, or uninstall the extension. Use the transcript library to delete individual saved sessions. Removing the extension or clearing its site/extension data can remove all locally stored transcripts permanently. Export records you need before uninstalling. There is no developer-side retention period because the publisher does not receive transcript data.

7. Security

The extension requests browser storage permission and access to specific supported Teams web domains so it can read live-caption elements and manage local transcripts. It avoids collecting access-bearing meeting query parameters, includes no remote executable code, and restricts its own extension pages with a Content Security Policy. Browser-profile encryption, operating-system access control, and device security remain the user's responsibility. Please avoid collecting sensitive meetings without appropriate authorization.

8. Limited use of data

The extension uses requested permissions and processed user data only to provide its explicitly described caption-recording and transcript-management functionality. It does not use data for targeted advertising, sell data, or allow people at the publisher to read transcripts. There is no automatic transfer for unrelated purposes.

9. External links and third-party services

The in-extension help and privacy links open this public website only when clicked. Visiting the site or GitHub is separately subject to the hosting provider's normal handling of web requests. The extension itself does not send meeting text to those sites. Microsoft Teams is a separate third-party service with its own terms and privacy practices.

10. Children and workplace use

This extension is intended for use by individuals who can lawfully preserve meeting captions. Obtain any required organizational approval and participant consent before use. The publisher does not knowingly market the extension to children.

11. Updates and changes

This page will be updated if data-handling behavior changes. Material changes will be communicated in release notes or the setup flow when appropriate. New versions retain local settings and transcripts unless release notes explicitly say otherwise.

12. Contact

Questions about the extension or this privacy policy can be submitted at the public GitHub issue tracker. Do not post confidential meeting transcripts in public issues. If you need private support, contact the Chrome Web Store publisher through its listed support contact.
